Booking

Programs should normally be confirmed at least one month before the first day of the Professional Intensive.

An inquiry or discussion of availability does not constitute a confirmed booking.

Once the program content, duration, and dates have been agreed upon, Tourokuya will issue an invoice. Full payment is required within seven days of the invoice date.

The booking is confirmed when payment has been received. If payment is not received by the due date, the reserved dates may be released.

Cancellation by the Participant

If you need to cancel a confirmed Professional Intensive, the following refund policy applies:

• More than 30 days before the first day: 100% refund
• From 30 days before the first day until 72 hours before the start: 50% refund
• Within 72 hours of the start: no refund

The same policy normally applies regardless of the reason for cancellation, including illness, travel disruption, or changes to flight arrangements.

In exceptional circumstances, Tourokuya may consider an individual arrangement at its discretion. This does not constitute a guaranteed entitlement to a refund or rescheduling.

Absence or Early Withdrawal

Once the Professional Intensive has begun, no partial refund is provided for missed days or for withdrawal from the program.

This includes absence due to illness or other personal circumstances.

Studio time, staff, and program preparation are reserved for the full agreed duration of the intensive.

Date Changes

Date changes requested by the participant may be possible depending on studio and staff availability, but cannot be guaranteed.

Please contact Tourokuya as early as possible if you need to discuss a change of dates.

Circumstances Beyond Either Party’s Control

If the program is affected by circumstances beyond the reasonable control of either the participant or Tourokuya—such as a natural disaster, severe weather, or major transportation disruption—we will first discuss whether the Professional Intensive can be rescheduled.

Any refund or other arrangement will be considered according to the circumstances and any costs already incurred.

Cancellation by Tourokuya

If Tourokuya is unable to provide the Professional Intensive for reasons within its responsibility, the Professional Intensive fee will be refunded in full.

In this case, any bank charges, international transfer fees, or payment processing fees required to issue the refund will be borne by Tourokuya.

This does not include circumstances beyond either party’s reasonable control as described above.

Materials

Materials used for the Professional Intensive are purchased or provided by the participant.

The materials required for each program will be discussed in advance as part of the program design. Studio tools are available for use unless otherwise agreed.

If Tourokuya purchases materials on behalf of the participant, the cost will be discussed and agreed upon in advance.

Interpretation

Interpretation is not included in the Professional Intensive fee.

If interpretation is required, it will be arranged separately and charged separately.

Changes or cancellations relating to interpretation are subject to the terms and cancellation policy of the interpreter or interpretation service. Any refund of interpretation fees is therefore handled separately from the Professional Intensive fee.

Refunds & Transaction Fees

For refunds resulting from participant cancellation, any non-refundable bank charges, international transfer fees, payment processing fees, or similar transaction costs associated with the original payment or refund may be deducted from the amount refunded.

If the Professional Intensive is cancelled by Tourokuya for reasons within its responsibility, these costs will be borne by Tourokuya.
